Society Confirmation and terms & conditions







1. Bookings are at the discretion of Woking Golf Club Limited whose decision shall be final in all matters concerning the booking.
a) Minimum numbers for your golf day package are based on 12 players.
b) Bookings will not be confirmed until the specified deposit is paid. Receipt of deposit constitutes full agreement to all terms and conditions stated.
c) If the course is unplayable at any time during your day due to adverse weather conditions, a refund of the green fee element will be made, or we may offer another day for you to return. Any catering that has been taken will be charged.

2. All remaining balance payments must be paid as per payment terms detailed below:
Full payment is required within 5 days of our invoice.

3. Should the Organiser cancel a confirmed booking the following charges will apply dependant on the Club’s ability to replace the reservation:
90 days plus 30% of estimated total value,
60 - 89 days 50% of estimated total value,
30 - 59 75% of estimated total value,
Up to 29 days 100% of estimated total value.

4. The Club reserves the right to cancel or amend a booking:
a) If the Club or any part is closed due to fire, natural disaster, employee dispute, alteration, demolition, decoration or by order of any Public Authority.
b) If the client becomes insolvent or enters liquidation or receivership.
c) If the reservation is potentially detrimental to the reputation of the Club.

5. Should the event be postponed within a week of the event; an alternative date may be offered, and green fees will be carried forward to the revised date. The Organisers will be liable for all food and beverage charges contracted to the original date.

6. Final chargeable numbers are to be advised no later than 48 hours prior to the event. If the final number has reduced by more than 10% from the original confirmed booking, the further reduction in difference will be charged in full.

7. The Club reserves the right to make additional charges after the event should any omissions be discovered.

8. The Club cannot accept any liability for any injuries caused to other persons by Club members or visiting players whilst on the Club’s property. All players acknowledge that they enter onto the course or into the Club’s premises at their own risk.

9. Knowledge of golf etiquette and rules is required by all players. We expect our visitors to repair their own pitchmarks. All players must always keep buggies and trollies out of the heather. Appropriate clothing and shoes must always be worn – denim, trainers, collarless shirts, football/rugby tops may not be worn.

10. An optional service charge of £3.50 (one round) / £4.50 (two rounds) will be added to all invoices for staff gratuities.

11. The Organiser will ensure no food and beverage is brought into the Club by themselves or any of their guests unless previously agreed in writing with the Club, accompanied by a disclaimer letter and agreed Corkage fee is applied.

12. Should the Organiser wish to employ the services of a contractor other than those supplied by the Club for the event it will be necessary for the client or the contractor to undertake to indemnify the Club against any claims made against them resulting from an act or default by any of the contractors or caused by any equipment supplied by the contractor or the client. We reserve the right, without prejudice, to refuse access to the Club to any contractor.

13. The Club reserves the right to conclude any event or remove an individual who/which is or not properly conducted and in such cases no part of the payment will be returned.

14. The Club reserves the right to change menu content under reasonable circumstances.

15. It is the responsibility of the Organiser to inform guests and external contractors of the Dress Code, Mobile Phone and No Smoking policies of the Club and to ensure these are adhered to.
