GDPR & Privacy Notice

Woking Golf Club have been working with our software provider, Intelligent Golf, and an independent third party, to ensure that we are compliant with the new GDPR legislation, and we have a plan in place to define and control how we deal with all sorts of information, involving Members' data alongside that relating to casual visitors, staff and suppliers.

Many Clubs have interpreted the new legislation to mean that Members must opt-in to any form of email communication from the relevant Club, but given that our email communication is limited to keeping Members informed of the basic operation of the Club (ie. competitions, updates on course usage and condition, etc) we have decided to not explicitly ask for permission to continue to contact you. Continuing to contact you in this way is an extension of the "contract" already in place and without wider marketing content being used, we have been advised that such authority is not required. 

With regard to the visibility of a Members' directory on the Club website, I have had a number of Members frustrated that they cannot easily contact other Members, whether in order to arrange knock-out draws or for any other reason. Intelligent Golf removed the directory from all its Clubs as a precautionary measure, and have provided a messaging feature (within the "MY GOLF" menu) but given the obvious convenience for Members of having their own and other Members' details visible, we have reinstated the directory feature (also within the "MY GOLF" menu) but reiterate to Members their ability to control which details are visible to other Members.  

In order to protect those Members who do not wish to have their details visible to other Members, as a default the settings within the directory will be set to "ex-directory", meaning you have to opt-in to change them. In order to do this, please click here: https://www.wokinggolfclub.co.uk/prefs.php, scroll down to "Contact preferences" and untick the "ex-directory" box. Whilst you are there, you can also review and amend the specific email preferences (eg. to enable or disable things like course status updates) and also add further contact details if required. Many of the contact details held in Intelligent Golf were migrated from one or more other database(s), so you may find some of the details to be missing or out of date.

We are committed to respecting your privacy. This notice is to explain how we may use personal information we collect before, during and after your membership with us. This notice applies to you if you have registered to become or are a member of our club. This notice explains how we comply with the law on data protection, what your rights are and for the purposes of data protection we will be the controller of any of your personal information

WHAT WE COLLECT

Depending on your relationship with us, we may collect information like:

Name and surname

Date of Birth

Address

Phone numbers

Email address

Gender

Occupation

Handicap ability

Membership Category

WHAT WE DO WITH THE INFORMATION WE GATHER

We require this information to administer your membership and to provide the products and services you have requested from us and provide you with a better service for the following reasons:

To administer your membership and for Internal record keeping.

Sending subscription notices to you.

Recording financial transactions about your membership.

Contacting you with relevant club correspondence.

Maintaining a record of any competitions you play in.

Maintaining a record of your handicap and related CDH Number.

Confirm your handicap to other Golf Clubs if they request confirmation of your handicap for any competitions you have entered with them.

Generally, we will keep your personal information on our club membership database for the duration of your membership, but we may need to keep it longer in compliance with other regulations or laws.

Your personal information is held on secure servers. Woking Golf Club complies with all applicable Data Protection Regulations.

We may change this policy from time to time by updating this policy and will notify you accordingly.

Under General Data Protection Regulation, you have the right to complain to the Information Commissioner’s Office (ICO) if you think there is a problem in the way your data is being handled.
